End of Financial Year Checklist: Essential Tasks for NZ Businesses

To make things easier, here are a few key checks and actions to help ensure a smoother transition into the new financial year.

Not all of these points will be applicable to every business, so it’s worth checking with your business partner or accountant on what needs to be done.

Check all transactions

Through March, set aside time to ensure that you have entered in all of the transactions that have happened. Particularly look for all transactions that will need to be converted, such as an invoice from a quote.

Additionally, if there are any supplier or customer credits that have been created that need to be applied, now is the time to do it. If the credit doesn’t have a corresponding transaction or can’t be applied yet, then its ok to leave them until you have everything you need.

Complete all processes

Although many of these are regular processes for most users, it's important to complete them to ensure everything is updated and ready for the new financial year.

If you sell inventory, a stocktake done close to the end of the financial year is recommended. This lets you capture all of the inventory movements and ensure you have an accurate figure of on-hand quantities.

If you have set up Bank Feeds, ensure they are refreshed regularly and reconcile all transactions throughout March to ensure you haven’t missed any. If you don’t have Bank Feeds, you’ll still need to complete the monthly bank reconciliation when your bank provides you with the monthly transaction information.

Unless you are a business that takes full payment at the time of the transaction, you’ll need to send your customers a monthly statement. This lets them know how much they owe and will need to pay.

Once you have recorded all transactions for the financial year, you can prepare the GST return. It’s also worth checking the return with your accountant or tax advisor to ensure there are no mistakes or missed figures. Depending on your accountant or tax advisor, they may want to prepare this on your behalf.

Review your records

Once everything has been entered, it’s time to review your reports and records. Not just to look for anything out of place but to really look at the numbers to identify areas that might not be performing as well as planned.

Review unprocessed transactions, such as quotes and purchase orders, to see if any will need to be chased up, if they have been recorded as duplicates, or if they can be closed off.

Run the Stock movement report to determine how quickly stock is moving. If there are products that are moving slower than expected, it may be worth discounting them.

It’s also good practice to go through other reports and transactions to see if anything needs further investigation, such as something looking amiss or outside the norm for that customer, supplier or account. For example, if customer “Bob” normally purchases $300 at a time, and there’s one sale that’s $600, this might be worth looking into.

Lastly, once you’ve had your accountant confirm everything is correct, it’s time to close off the financial year. This can’t be undone and should only be performed once everything else has been completed and your accountant is happy with all of your records.

His impressive background includes positions such as Global R&D Manager for Navman, Research & Development Executive at Gallagher Group, and both Chief Technical Officer and Chief Executive Officer at Framecad.

Rob has a proven record of driving business transformations, SaaS innovations, and executing effective go-to-market strategies within some of New Zealand's leading technology enterprises. Additionally, Rob holds prestigious professional recognitions, including Chartered Membership of the Institute of Directors and Fellowship with Engineering New Zealand.

On a personal note, Rob is already well-acquainted with our team, having collaborated closely with Infusion's leadership on the Soda Inc. startup board over recent years.

What’s New in Release 2025-Q2-R1

Warranty Settings & Management

You can now fully configure warranty settings within Infusion. This includes creating Warranty Types and Usage Types via Customer Items Settings. Recording warranties on customer items is easier than ever. You can assign warranty details directly to customer items, with the option to link or unlink warranties as needed. Existing warranty data from desktop Infusion can be migrated seamlessly, enabling a smooth transition and comprehensive warranty tracking.

Price Update on Cost Changes

Infusion now prompts users to update prices whenever costs change across the system, such as in purchase orders, receipts, and invoices. This ensures your pricing remains accurate throughout your supply chain.

Additionally:

Price changes on duplicated purchase orders are automatically dropped to avoid confusion.
When printing labels from purchase order receipts, the displayed price reflects the latest cost adjustments, including any markups or reversions.

Linking Jobs to Customer Items

You can now assign customer items directly to jobs, improving tracking and management. As you create new jobs, customer items can be easily linked. The jobs listing page now supports searches by various customer item attributes.

Customer items can also be migrated from the desktop version, with only active items being transferred.

Jobs can now be initiated directly from customer item pages, with customer information and linked items pre-filled. If you change the customer before saving, Infusion will prompt you to confirm any pricing changes, ensuring job pricing remains accurate.

New Report Layout for Purchase Order

When receiving goods through purchase orders, you can now print product labels that include job details (where available). This enhancement improves inventory management and clarity during stock handling.

This update introduces key improvements to simplify your workflow, enhance operational control, and improve user experience.

Corrected contract rate migrations to ensure accurate rate applications.

On 20^th – 21^st November, we welcomed our partners to the Rydges Hotel in Rotorua for the annual Infusion Partner Conference — two days of connection, strategy, and shared vision for the future of our product and the businesses we support.

Day One: Welcome and Opening

The conference opened with a welcome from Infusion Group’s CEO Graham Gaylard and Mike MacLennan, who took a moment to honour the late Tim Shaw, founder of Infusion Software. Their acknowledgement of Tim’s legacy set the tone for the event and reinforced our commitment to honouring the past while continuing to shape a strong future for Infusion.

A New Chapter of Growth

We then heard from our new General Manager, Robert Heebink, who shared updates on the evolution of Infusion’s strategy and culture, outlining how we are focused on scaling while holding tight to the values that shaped Infusion from the start. His session sparked conversations about growth, innovation, and how we continue delivering value to our customers and partners.

Day Two: Digital Innovation and Learning

Day two kicked off with an important session on migrating customers from desktop to cloud and how we continue to make this process more seamless for our customers. This transition is central to our strategy, ensuring businesses benefit from a more scalable, secure, and future-ready platform designed to support long-term resilience and growth.

Our keynote speaker Jeremy Suisted from Mosaic Partners; delivered a dynamic presentation on the increasing use of AI and it’s role in business. Their message was clear: AI is a practical, powerful tool when used thoughtfully. The session provided practical advice on how to use AI which can streamline operations, support decision-making, and drive competitiveness.

The morning continued with a marketing-focused session exploring the power of digital marketing and brand awareness in driving new leads and customer growth. Partners gained insight into how digital channels can support both brand building and performance.

Closing Sessions and Partner Collaboration

We wrapped up the conference with product demonstrations and a final Q&A session, giving partners the opportunity to share feedback, ask questions, and discuss feature enhancements they’d like to see prioritised. These conversations are always invaluable as they help shape the direction of Infusion’s development roadmap.

Infusion Online 2025 Q1 Release: New Features, Shopify Update & More!

Pricebooks can now be used in transactions

When we introduced the first elements of Pricebooks in Infusion back in October 2024, it was only a part of a greater whole. With this release, we have unlocked the full power of Pricebooks within Infusion.

Included in this release is the ability to include Pricebooks in transactions. We’ve added a new dropdown menu in quotes, invoices, and purchase orders, allowing you to select any loaded Pricebook and choose items within it for use in the transaction.

As part of this, any products in the Pricebook that haven’t been linked to a corresponding product in Infusion will be created when the transaction is saved or posted. Take a look at our help article for all the details!

Shopify integration is now available

In addition to WooCommerce, users can now integrate their Shopify webstore into Infusion. This gives you more flexibility in choosing your E-Commerce solution. With this integration, sales made in Shopify will synchronize back to Infusion, ensuring you can track all the details of sales and customers in one place.

Bank Deposit payment method filter

If you regularly prepare bank deposits, you know how frustrating it can be to find all the same payment types in the list of customer payments, cash takings, and other sources of funds that need to be banked. We’ve made this much easier by introducing a filter for preparing bank deposits, allowing you to filter by a specific payment type.

For even more convenience, if the filter is changed to a different payment type, any transactions that had been selected will remain ticked.

Costs on serial numbers

We’ve added the ability to track individual costs on serial numbers, allowing the specific costs of each serial number to be captured and reflected in transactions. If you prefer not to use this feature, it can be disabled in Product Settings under Track Costs by serial number.

Total/summary lines on invoices from jobs

To make things easier for your customers, invoices created from jobs will now consolidate lines if the same code is used. This results in a one-line summary of multiple lines with the same code, making invoices cleaner and easier to understand. If you need to see the individual lines, simply click the amount to view them.
